Scheduling

The GHOA uses Horizon Web Ref to schedule all game assignments. Once you have completed your registration requirements with USA Hockey, have received your crest, and have your officiating equipment, please follow the instructions below to join our association on Horizon Web Ref. Once accepted, complete your profile, set your availability and keep it up to date. 

Last Season's Crest Expires November 30th!

You will NOT be given games if you do not have your new crest for the current season. Let the schedulers know when you receive your new crest.

Using Horizon Web Ref:

To Request an Account (NEW OFFICIALS START HERE)

  • Once you receive your Crest in the mail from USA Hockey, go to my.horizonwebref.com and select “New User Registration”
  • Fill out the required user information.
    Note: Parents and children CANNOT use the same email address to sign up. Each user must have a separate email address.
  • Enter our association number #205430
  • One of our Board members will be reaching out via email to enquire more about your playing and officiating experience before approving your account. 
  • An email will be sent to you from HorizonWebRef with directions and username/password when your account is approved by a GHOA administrator.
  • Add the Horizon Web Ref App to your phone. 

To set up Your NEW Account

  • You will get an email from HorizonWebRef with a username and temporary password
  • Use the link in the email to log in at my.horizonwebref.com
  • New users will be required to enter a permanent password.  Note: DO NOT lose your password, as your GHOA administrator cannot reset it for you

To Access Your Existing Account

  • Simply go to my.horizonwebref.com and sign in with your username and password. 
  • Make sure to get the Horizon Web Ref mobile app on Apple and Android.

To Configure Your Account

  • Go to your “Personal Profile” on the menu to the right and update all of the required information
    • Enter your phone # and email for contact purposes.
    • Date of birth is REQUIRED for game assignments.
    • Official’s # and SSN is REQUIRED for payroll and tax purposes.
    • Emergency contact information is REQUIRED for everybody’s safety.​​

SET YOUR AVAILABILITY

  • By default your account is set up with NO available dates to take games.
  • You MUST change the days you can accept games to AVAILABLE or you will not show up in the schedulers list of officials who can work.
  • You can set your availability to Not Available, Available All Day, Available Before, Available After, Available Between and Not Between.
  • PLEASE make everything easier on our schedulers and be diligent with your calendar.
    • Add notes to your availability calendar to help our schedulers.
    • Set up your Blocked System settings (Optional)
    • You can block specific teams, game levels, and partners. 
    • Please block any adult team that you play for.
  • Setting your availability does not guarantee you will be assigned during that time. For example, if you are available 5 nights per week, you might only receive an assignment on or two nights. 
  • Most games are scheduled in sets of two. If you are available for one game, but not the game after, you might not get assigned.
  • Make sure your avialability lines up with game times on the Gallatin Ice Calendar to ensure you are eligible for games. You availability must cover the entire game, not just the start time. 

Receiving Game Assignments

  • Games will be assigned within your set availability in Horizon Web Ref. We generally assign games one to two weeks ahead of time, so please plan ahead.
  • Once you recieve an assignment you will have 48 hours to accept or decline it.
  • Declining games will likely prevent you from receiving games for that week and beyond as games are scheduled in batches. Repeatedly declining games may prevent assigners from assigning you games entirely. It is very important to keep your availability up to date the best you can. 
  • If you need to turn back a game for any reason, go into that game assignment as soon as possible in Horizon Web Ref and select to turn back the assignment. If turning back a game within 24 hours, please call and or text the assigner. DO NOT HAVE ANOTHER OFFICIAL COVER YOUR ASSIGNMENT, PLEASE WORK THROUGH THE SCHEDULER TO COVER GAMES.
